 In the context of Walmart, a shortage deduction is going to be where a retailer is withholding payment from the invoice saying that they didn't receive all or some of the goods and there's going to be a few codes that are involved with this. This is the most common deduction, especially inside of Walmart that suppliers are going to be facing. Thankfully this is going to be most commonly paid back.

Avoid Deductions with Item Setup in Supplier One 🛠️📦

 This one is going to be really helpful for both valid and invalid deductions, confirming your item setups.  You're going to want to make sure that your vendor pack quantities and your warehouse pack quantities are correct because Walmart is going to be checking how much they received, and if those units are not set up correctly inside of, it's not Item Setup anymore, it's Supplier One, but going and making sure that your item setups are correct in there will help you avoid a lot of the deductions in the first place.

There's typically going to be multiple different reasons such as poor labeling, receiving error, mismatched package types, or the invoice arrives before the shipment. These are definitely the four most common that I will see when working with suppliers.

Payback Timeline for Disputes at Walmart: How Long Does it Take? 📅 💵

 Just some benchmark information for you guys here. The total average payback timeline from submitted to paid is around 51 days, about 50 or 49 percent of those disputes are actually approved within 7 days. There's kind of a long tail of other deductions that can take up to 45 days to actually be approved, and then typically once your deduction has been approved, it's going to be paid back within a week. So you're going to see that on a check within a week. About 2 percent of approved disputes are going to take longer than 14 days.

Billable Overages at Walmart: Why Timing Is Key for Accurate Claims ⏳📊

Timing matters here. Making sure to investigate overages that have occurred in the past two years to capture any missed billing opportunities and ensure your claims align with Walmart's invoice timeline. 

You cannot assume that a billable overage is actually a billable overage too quickly, allowing for sufficient time to actually confirm all the goods have been received, the initial payment is on the invoice. This precaution will help avoid any unnecessary disputes and ensure accuracy in your overage claims.

Did we invoice for it? Have they paid us for that? and what is the receiving data say? That way you can see, okay, we've given Walmart ample time to pay for this invoice, to receive the goods that are at the DCs because sometimes there's a bit of a delay in receiving depending on how you ship, and depending on the DC that you're working with.

You want to put a little gap in place to make sure that all that is finalized before you make a judgment on, this PO has a billable overage.

 So pricing discrepancies are anything where Home Depot expected to pay less than what was the listed amount on the supplier's invoice. They're charging you back for that difference.

The reason code on the remittance or just kind of across the board within merchandise payables for these pricing discrepancies, it's just simply pricing discrepancy. So again, at least you know what the chargeback is there.

 Trade discounts. are those contractual deductions. The two main chargeback types that suppliers will be disputing will be the shortages and pricing discrepancies, and really, honestly, primarily the shortages.

 What's the difference between Walmart's AP deductions and AR fines? So deductions are basically going to be taken from your payment from Walmart.

It's going to get just automatically deducted from your check versus compliance fines are going to be things that you are actually billed, and if you do not pay that bill through High Radius, then it's actually going to be deducted from your check, so compliance fines or AR fines are seen as something that you owe Walmart and therefore you have to pay them for it, versus deductions are just automatically taken from whatever  they pay you.

APDP Mass Dispute Creation: Watch Out for the Proof Doc Limitation! 🚧👀

 One thing that we found out inside of APDP is they also offer mass dispute creation or MDC  where you can actually go and dispute I think it's about 100 different deductions at a single time. The only limit for that is that it doesn't allow for you to attach proof documentation, which takes the average win rate where you submit proof is like 80 to 87 percent for shortage related deductions, all the way down to 8.

So if you are not attaching proof documentation to something like a shortage deduction, you are severely undercutting your potential success for winning that dispute.
