How to View Payments and Deductions in Walmart's Supplier One

Deductions Management

Claims or deductions happen during invoice processing when Walmart finds discrepancies between the purchase order, received goods, and the submitted invoice. These claims are called Accounts Payable Claims. Common reasons for deductions are price differences, quantity mismatches, or allowance discrepancies. Knowing the root cause of these deductions helps suppliers to manage their finances better.

To view your deductions, navigate to the Payments section in the left navigation menu and select Deductions. On the main dashboard, suppliers can filter deductions by date type (PO date, Invoice date, Check date), date range, deduction codes, supplier ID, divisions, or department numbers. The data presented shows a comparison of deductions over specified periods, allowing suppliers to track trends effectively.

Download options:

  • Suppliers can download detailed deduction data for up to
    10,000 records or individually select specific deductions to
    export.
  • The Download History feature tracks previous download
    requests, allowing suppliers to retrieve files if needed.

Deduction Reasons are categorized into groups such as:

  • Allowances (e.g., negotiated pricing discrepancies)
  • Receiving (e.g., carton shortages, damages)
  • Compliance (e.g., OTIF, SQEP)
  • Returns (e.g., defective merchandise, handling charges)
  • Invoice-related issues (e.g., price differences, duplicate billing)

Best practices for managing deductions:

  1. Monitor deductions regularly through the Supplier One portal to dispute inaccuracies quickly.
  2. Keep accurate documentation (e.g. signed bills of lading, proof of delivery documents, and/or allowance agreements) to support disputes.

Payment History

The Payment History section in Supplier One allows suppliers to track past payments associated with their Supplier ID, invoice numbers, purchase orders, and check numbers. This section provides a detailed breakdown of payments, helping suppliers monitor transactions and reconcile any discrepancies.

If you’re looking for the DSV Payment History Report, note that it has been moved to the Reports page under Payment and Sales > DSV Shipped Orders Report. This report remains exclusive to DSV suppliers.

Viewing and Downloading Payment History

From the left menu, go to Payments then Payment History. 

1. Select the Correct Supplier ID

  • If you have multiple Supplier IDs, click Change to switch between them. This ensures you’re viewing the right payment records for the right business unit.
    • If you only have one Supplier ID, it will automatically populate.

2. Filter by Date Range

  • Click Change next to the date filter to choose a custom date range. This is helpful when reconciling monthly statements or doing quarterly reviews.

3. Search for Specific Transactions

  • Choose a search type. This will either be an Invoice Number or PO Number.
  • Enter one or more values in the search bar and then click Enter to get a filtered list. This will let you know if a specific invoice has been paid and matched to the right PO.

4. View Payment Details

The list will show:

  • Paid Date – The date Walmart paid
  • Check Number – The check number
  • Paid Amount – The total amount paid
  • Entry Count – Number of invoices or line items paid
    • Use the arrows in the Paid Date column to sort by most recent or oldest transactions.

5. Export a Summary Report

  • To keep a copy outside of Supplier One or to do further analysis, click the Download button. This will give you an Excel file with a summary of the selected transactions.

Disputes Process

The Disputes section in Supplier One provides visibility into Accounts Payable (AP) claims but does not support dispute creation. While you can view and download dispute data, any attempt to create a dispute will redirect you to the Accounts Payable Disputes Portal (APDP) in Retail Link, where all disputes must be submitted.

Viewing Dispute Data

1. Access the Disputes Section

  • In the left navigation menu, click Payments and select Disputes.

2. Search for a Specific Dispute

  • Use the drop-down menu to select a search type (Invoice Number, Dispute Number, Dispute Case Number, or PO Number).

  • Enter up to 50 numbers in the search bar and press Enter/Return to apply your search.

3. Filter and Sort Dispute Data

  • Click on quick filters like Draft, Supplier Action, Walmart Action, Approved, or Denied to refine results.

  • For additional filtering, click Filters and apply selections such as:
  • Dispute Date, Deduction Code, Supplier ID, Status, and Created By.
  • Click Apply to finalize your selections.
